A Cabin Company K.K. (“the Company”) sets forth this Privacy Policy regarding the handling of personal information and user data in connection with the services we provide (“the Services”).

- Information provided by customers and accompanying guests: name, date of birth, gender, nationality, contact details, information required by accommodation laws (passport number, address, occupation), and payment details.
- Information obtained from external services (if linked by the customer): service IDs, and other authorized information.
- Automatically collected information: access logs, IP address, browser details, cookies, advertising identifiers (ADID, IDFA), and location data (with consent).
- Information required for non-face-to-face check-in/out: legally mandated accommodation register information under the Inns and Hotels Act of Japan.
2. Purpose of Use
Collected information is used for:
- Processing reservations, applications, identity verification, and payments
- Providing, maintaining, and improving accommodation and related services
- Creating and storing guest registers required by the Inns and Hotels Act (including non-face-to-face check-in/out)
- Analyzing usage and improving the Services
- Preventing misuse and responding to violations
- Responding to inquiries and sending important notices
- Sending newsletters, promotional offers, and information about our services or partner services (with opt-out option)
3. Provision to Third Parties
We do not provide personal information to third parties without prior consent, except where permitted by law, such as:
- Service providers engaged for payment, cleaning, or system operations
- Transfers of business through mergers or acquisitions
- Provision through analytics and cookies (e.g., Google Analytics)
4. Security Measures
We take necessary security measures to prevent leakage, loss, or alteration of data, including:
- Access control and password management
- Encryption of communications (SSL)
- Employee training and supervision
- Contracts and monitoring of service providers
5. Customer Rights
Customers may request:
- Notification of purpose of use
- Disclosure of retained data
- Correction, addition, or deletion

A handling fee of JPY 1,000 (incl. tax) applies per disclosure request. Opt-out from newsletters and promotional emails is free of charge.
6. Retention Period
We retain personal information only as long as necessary to achieve the purposes stated or as required by law.
- Guest registers are retained for 3 years in accordance with the Inns and Hotels Act of Japan.
- Other data is deleted or anonymized once no longer needed.
7. Overseas Transfer of Data
We may transfer personal information to servers or service providers located outside Japan (e.g., cloud or payment processors in the United States). In such cases, appropriate safeguards are applied in compliance with Japanese law.
8. Governing Law and Jurisdiction
This Policy is governed by the laws of Japan. Any disputes shall be subject to the exclusive jurisdiction of the Tokyo District Court as the court of first instance.
